Purchasing & Accounting Assistant (Bilingual English/Chinese)
We are a growing importer and distributor of OEM parts based in Yorba Linda, CA, seeking a dedicated and detail-oriented Purchasing & Accounting Assistant who is fluent in both English and Chinese. As a vital member of our team, you will play a key role in supporting purchasing, accounting, and cross-functional coordination, acting as the primary liaison between overseas vendors and internal teams to ensure smooth operations and effective communication.


Key Responsibilities:

Purchasing

  • Manage communications with vendors, including requesting quotes, placing orders, and tracking shipments.
  • Work directly with overseas suppliers, predominantly Chinese-speaking, to ensure accurate and timely processing of orders.
  • Monitor inventory levels to anticipate purchasing needs and provide recommendations.
  • Maintain detailed and organized records of purchase orders, supplier contracts, and pricing information.

Accounting

  • Assist in processing accounts payable and accounts receivable.
  • Reconcile invoices, purchase orders, and shipping receipts.
  • Support accurate record-keeping and reporting for financial transactions.

Coordination & Communication

  • Act as the primary liaison between overseas vendors and internal teams, including sales, customer service, and project management.
  • Provide clear, timely updates on order status, production schedules, shipment timelines, and related issues.
  • Collaborate with internal departments to resolve discrepancies, streamline processes, and ensure smooth day-to-day operations.
  • Support the project manager by providing updates and guidance on procurement and vendor activities.

Qualifications:

  • Bilingual proficiency in English and Chinese.
  • 1-3 years of experience in purchasing, accounting, administrative roles, or equivalent.
  • Exceptional organizational, multitasking, and time-management skills.
  • Strong attention to detail and a commitment to accuracy.
  • Excellent verbal and written communication skills with a focus on effective problem-solving and collaboration.
  • Experience with international vendors or familiarity with Import/Export processes preferred.
  • Proficiency with ERP systems (e.g., QuickBooks, SAP, or similar software).
